Are all calls automatically recorded and transcribed?
Yes. By default, 100% of calls are automatically recorded and transcribed without any manual action. You can configure exceptions — such as deactivating for specific agents, during certain time slots, or based on the caller's consent — from the back office.
How long after the call is the data available?
In under a minute. Immediately after the conversation ends, the complete call record — audio recording, full transcript, AI summary, classification, and extracted data — is available in the back office and pushed to your tools via API or webhook.
Can we configure the automatically extracted information?
Yes. The extractors are fully configurable: you define the fields to extract — name, contract reference, request type, sentiment, amount, desired date… — according to your business needs. Each extracted field is automatically transmitted to your connected tools.
How does automatic call classification work?
You define your own business categories from the back office (e.g., appointment booking, complaint, cancellation, claim, product information). At the end of each call, the AI agent automatically categorizes the conversation into the corresponding category. You can view the real-time distribution on your dashboard.
Is data hosted in France or Europe?
All data — recordings, transcripts, call metadata — is hosted in Europe and never transferred outside the EU. Volubile complies with GDPR and CNIL recommendations.
How to configure the data retention period?
From the back office, you can independently set the retention period for audio recordings and text transcripts. Settings are configurable per agent, per use case, or globally — according to your legal obligations and internal policy.Q
Is transcript anonymization automatic?
It is optional and configurable. You can enable automatic anonymization of personal data (names, numbers, addresses) in transcripts according to your business rules. It can apply to all calls or only to specific categories of sensitive calls.Q
Can we connect call data to our CRM or ticketing tool?
Yes. Extracted data and classifications are automatically synchronized via REST API or webhook to your existing tools — Salesforce, HubSpot, Zendesk, ServiceNow, or any system with an API. The connection can be configured from the Integrations interface without specific development for native connectors.
How to handle a customer's data erasure request (GDPR Art. 17)?
A caller's recordings and transcripts can be manually deleted from the back office at any time, or automatically according to defined rules (end of call, configurable delay). Deletion is immediate and irreversible — compliant with GDPR's right to erasure requirements.
Can call data be exported for external analysis?
Yes. The structured data from each call can be exported as CSV or retrieved via API to feed a data lake, BI tool (Tableau, Power BI, Looker), or internal analytics system. Exports can be scheduled automatically or triggered manually.
